Terms and Conditions

1. Introduction
These terms and conditions govern the provision of event medical cover services by MR Medic Events ("we", "our", "us") to our clients ("you", "your").
By booking our services, you agree to be bound by these terms.
2. Services
We provide professional medical cover for events, including but not limited to:
- First aid and emergency medical response
- On-site medical teams comprising qualified clinicians
- Medical equipment including AEDs and oxygen
- Patient documentation and incident reporting
The specific services provided will be detailed in your quote and booking confirmation.
3. Booking and Payment
3.1 Quotes
Quotes are valid for 30 days from the date of issue. All prices include VAT. The quoted price is final and includes all standard equipment and consumables.
3.2 Booking Confirmation
A booking is confirmed upon receipt of your signed booking form and deposit payment (where applicable).
3.3 Payment Terms
Unless otherwise agreed, full payment is due within 14 days of the event or upon receipt of invoice, whichever is sooner.
4. Cancellation Policy
4.1 Cancellation by Client
- More than 14 days before event: Full refund minus administration fee
- 7-14 days before event: 50% of booking fee retained
- Less than 7 days before event: 100% of booking fee retained
4.2 Cancellation by MR Medic Events
In the unlikely event we need to cancel, we will provide as much notice as possible and offer a full refund or alternative arrangements.
5. Client Responsibilities
You agree to:
- Provide accurate event information including venue, times, and expected attendance
- Ensure safe access to the event site for our team
- Provide a designated contact person for the event
- Supply event radios for communication with our lead medic
- Provide access to toilets and drinking water for our team
- Ensure safe parking for our vehicles
6. Our Responsibilities
We will:
- Provide qualified, DBS-checked clinicians
- Supply appropriate medical equipment
- Maintain valid insurance coverage
- Respond to medical emergencies in accordance with clinical protocols
- Provide incident reports following the event
7. Liability
We maintain comprehensive Public Liability, Medical Malpractice, and Employers' Liability insurance. Certificates are available upon request.
Our liability is limited to the extent permitted by law. We are not liable for:
- Circumstances beyond our reasonable control
- Indirect or consequential losses
- Losses arising from your failure to comply with these terms
8. Emergency Services
Our team will liaise with NHS emergency services when hospital treatment is required. We do not provide private ambulance transport.
9. Data Protection
We process personal and patient data in accordance with our Privacy Policy and applicable data protection laws. We are registered with the ICO.
10. Governing Law
These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the English courts.
