How many medics do I need for my event?
The number of medics required depends on the size, type and risk level of your event. Every booking is assessed individually. As a general guide: Small events (under 300 people) usually need 1-2 qualified medics; Medium events (300-2,000 people) typically need 2-4 medics; Large events (2,000-5,000 people) normally need 4-8 medics with a team leader; Major events (5,000+ people) require a full medical plan. We'll advise you on the appropriate level of cover when you request a quote.
Do I legally need medical cover at my event?
In most cases, there is no specific law requiring medics on site. However, event organisers have a legal duty of care under UK health and safety legislation. This means you must ensure adequate first aid and medical provision based on your event's size and risk level. Many venues, local authorities, and insurance policies also require professional medical cover as a condition of their agreements.
What do I need to provide for the medics on the day?
We ask for: Full event address and postcode, event schedule and site plan, a main point of contact, at least one event radio for the lead medic, safe parking, and access to drinking water and toilet facilities for longer events. All medical equipment is provided by us.
Will I be charged extra for medical supplies?
No — all standard medical equipment and consumables are included within our quoted rate. There are no hidden charges for routine items used during the normal delivery of care. The price you are quoted is the final price you pay.
What happens in an emergency?
Our clinicians will: Assess and treat the patient using professional equipment, liaise with event control via radio, escalate to NHS Ambulance Service via 999 if required, and provide continuous care until safe handover. All incidents are documented using GDPR-compliant patient report forms.
How late can I book medical cover?
We recommend booking as early as possible, particularly during peak periods such as summer festivals and the Christmas season. However, we can often accommodate last-minute requests, sometimes within 24-48 hours depending on availability. Contact us as soon as possible to discuss your requirements.
Do you supply ambulances?
No — we specialise in providing qualified clinicians and on-site medical teams rather than private ambulances. If hospital treatment is required, we request an NHS ambulance via 999 and provide a full clinical handover to the ambulance crew. For events requiring dedicated ambulance provision, we can advise on appropriate arrangements.
Do your prices include VAT?
Yes — all our prices are inclusive of VAT. Your quote will clearly show a full cost breakdown including the VAT element, so there are no surprises.
Do you have public liability insurance?
Yes — we hold comprehensive Public Liability, Medical Malpractice and Employers' Liability insurance through specialist healthcare insurers. Certificates of insurance are available on request and can be provided as part of your booking confirmation.
Some of my staff have first aid certificates — do I still need medical cover?
In many cases, yes. Staff first aiders have primary operational responsibilities and may not be available when needed. Professional event medical cover provides: A dedicated clinical response team, qualified clinicians with appropriate equipment, proper compliance with venue and authority expectations, and documented patient care records. Having both staff first aiders and professional medical cover ensures comprehensive safety for your event.
How is patient information handled?
We take data protection extremely seriously. All patient information is recorded using secure, GDPR-compliant systems. We are registered with the Information Commissioner's Office (ICO). Information is never shared with third parties unless required for: safeguarding purposes, clinical handover to NHS services, or as required by law. You will receive a summary of any incidents at your event, with patient-identifiable information removed.
